Access to Belgian government portals: check your digital keys in time

The Belgian authorities are gradually phasing out access to various online government services via a simple username and password. To access an increasing number of applications, companies will be required to use secure authentication methods such as eID, itsme®, MyGov.be or eIDAS. This evolution forms part of the authorities' ongoing efforts to further enhance the security of company and personal data.

Which Belgian government portals does your company need access to?

It is important to verify whether the appropriate individuals within your organisation have access to the key Belgian government portals, including:

  • e-Box Enterprise: the official electronic mailbox used for communication between the Belgian authorities and businesses;

  • Declaration of Works (30bis): mandatory notifications for certain construction and related activities;

  • Checkinatwork: mandatory attendance registration for workers performing certain activities on Belgian worksites;

  • MyMinfin: access to tax-related documents, certificates and administrative formalities;

  • Social Security Portal: access to employer declarations, certificates and other social security services.

Which digital identification methods can you use?

To access these applications, the Belgian authorities increasingly rely on two-factor authentication.

The following digital keys are currently supported:

  • a Belgian eID together with a card reader;

  • the itsme® application;

  • the MyGov.be application;

  • eIDAS, the European electronic identification system.

If the individuals responsible for payroll, tax or social security compliance do not yet have a supported digital key, we recommend taking action now to ensure continued access to the relevant government services.

No Belgian eID? Here are the alternatives

Several alternatives are available for legal representatives who do not have a Belgian eID:

Once the legal representative has obtained a digital key, access can be granted to other employees within the organisation.

Further information on the available digital keys and authentication methods can also be found on the CSAM website.

We also refer you to the attached practical guide, which provides step-by-step instructions on how to activate a digital key online.

Our recommendation

As access via username and password continues to be phased out, we recommend that companies review their current access and authorisation structure.

In particular, verify whether the individuals responsible for Belgian payroll, tax and social security compliance have:

  • access to at least one supported digital key;

  • the required mandates and authorisations;

  • access to the relevant government applications, such as e-Box Enterprise, Declaration of Works (30bis), Checkinatwork and MyMinfin.

How we can help

We support organisations with:

  • identifying the Belgian government platforms relevant to their activities;

  • reviewing existing mandates and access rights;

  • setting up and managing authorisations;

  • guiding authorised individuals through the available authentication options;

  • ensuring continuous access to the applications required to comply with Belgian payroll, tax and social security obligations.

A proactive review of your current access arrangements can help prevent administrative disruptions and mitigate compliance risks as Belgium continues to strengthen the security of its online government services.

If you have questions regarding digital keys, mandates or access rights, or if you would like to discuss your specific situation, please do not hesitate to contact us. We would be pleased to assist you.
